Job Description

Location – South Okkalapa The Job • This person will handle administrative tasks, coordinate resources, and facilitate smooth communication across departments, ensuring a productive and efficient work environment. • This person will report to the admin manager/general manager. Key Responsibilities • Manage office supplies, including procurement, inventory tracking, and vendor coordination. • Maintain and organize accurate records, documents, and administrative databases. • Schedule and coordinate meetings, appointments, and events, preparing agendas and keeping minutes. • Oversee facility management, including maintenance, cleanliness, and compliance with safety standards. • Serve as the point of contact between departments, ensuring seamless communication and workflow. • Handle external correspondence, such as emails, calls, and official letters. • Handle the management of major staff meetings and annual events of the organization. • Monitor inventory, ensure timely replenishments, and maintain storage protocols. • Monitor budgets related to administrative tasks and propose cost-effective solutions. • Oversee the scheduling of routine preventive maintenance (oil changes, tires, servicing) for all company vehicles to minimize downtime. • Coordinate repairs and act as the main liaison with workshops, vendors, and service providers. • Manage vehicle documentation, including registrations, licensing, and insurance renewals. • Handle accident reporting, investigations, and coordination with insurance providers. • Ensure all vehicles carry required safety equipment and adhere to local health and safety regulations. • Monitor fuel usage, implement cost-saving measures, such as route optimization and fuel efficiency monitoring. • Assist with driver recruitment and onboarding.

Requirements

• Bachelor’s degree in Business Administration or related field. • 2-3 years of experience as an admin executive or in a similar role. • Strong proficiency in MS Office (Word, Excel, PowerPoint) and office management tools. • Excellent organisational and multitasking skills. • Strong verbal and written communication abilities. • High attention to detail and time management capabilities. • Problem-solving mindset to address operational challenges. • Adaptability to handle a variety of administrative tasks efficiently. • Understanding of vehicle maintenance, safety regulations, and compliance. • Knowledge of hygiene standards for food transport is a plus.
