
Job Description
● Prepare and format meeting documents, presentations, and correspondence.
● Print, bind, and distribute board/committee packs as instructed.
● Support data entry for meeting records, resolutions, and attendance logs.
● Assist in booking meeting rooms, arranging refreshments, and setting up equipment (e.g., projectors, microphones).
● Prepare attendance sheets, sign-in forms, and meeting kits.
● Ensure meeting spaces are clean, organized, and ready before scheduled meetings.
● File all approved minutes, agendas, resolutions, and correspondence in physical and digital systems.
● Label and archive documents for easy retrieval and reference.
● Help maintain a tracking register of documents and resolution statuses.
● Coordinate with internal departments to collect required documents or reports for meetings.
● Support the circulation of reminders and notices to attendees.
● Perform other duties assigned by the Division Head to support the secretariat functions.
Requirements
● Bachelor’s Degree or related fields.
● 1 year of experience in an administrative or clerical role
● Good organizational and time management skills
● Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
● Attention to detail, accuracy, and document handling discipline
● Basic understanding of record management and confidentiality principles
